Help me plan a "mini" itinerary - ROR

I was thinking that I wanted to include a short intinerary shedule for my guests. I don't want to take up too much of their time because it is their vacation, but at the same time, I don't want them to feel bad and think that I've invited them all this way and I don't even have anything planned for them.

 

I was thinking the evening my guests arrive to have a "welcome cocktail party". I will just use one of the poolside bars or sportsbar (really I'll use any space I can find that will accomodate us.....lol) There, I will pass out their OOT boxes (with a chocolate satin wide ribbon instead of the red)

OOT Boxes will include

sunblock

insect repellant

personalized water bottles

granola bars

gum

candy w/ personalized wrappers

tylenol

this itinerary

mini phone sheet with important phone & room numbers (bride, groom, parents, front desk, etc.)

postcards

and maybe Jamaican key chains

 

Wednesday, May 7th

12pm – 5pm Arrive in Jamaica

6:00pm - Welcome Party

 

 

Thursday, May 8th

12:30pm – Meet ‘n’ Greet lunch

3:00pmGet out and enjoy sunny Jamaica

 

 

 

Friday, May 9th

10:00 am Rehearsal at Gazebo (FI, myself, & parents)

6:00pm Rehearsal Dinner

9:00 pm - Beach party

 

 

Saturday, May 10th

 

4:00 pm Wedding -

 

4:45pm Pictures

 

6:30 pm Wedding Reception Dinner – Plantation

 

9:00 pm Dance the night away

 

Sunday, May 11th

Guests enjoy last day in sunny JA

 

5:00pm Trash the dress photo shoot

 

Monday, May 12th

Guests depart and me and hubby begin our honeymoon

 

What do you guys think? Do you think that I'm asking too much time from my guests. I don't want them to feel obligated to attend any events if they don't want too, but i would like to have a little bit of structure to our event.

I think your schedule looks fine. Ours will be similar for hosted events, and then we'll include some non-hosted outings that people can RSVP for just to get a group discount rate and not have to deal with planning the activities (zip lines, shopping excursion, dolphin swim) themselves. But those will be optional for them...

Climbing Dunns River Falls sounds awesome Mo!!! I really like the way your phrased it. I would love to do that with some of my guests, but the only problem is that we have alot of older people (seniors) coming and I want to choose something that everyone can do.......maybe some sort of sightseeing tourhuh.gif?

 

I think your idea about the welcome party and the meet n' greet lunch is right. I'll only choose 1. Perhaps the welcome party.

Hey I like you ideal. I would like to plan an outing for my guest . So please clarify your schedule for me. I'm a little confused on what day to schedule it. When do I make the suggestion to my guest? Do I include the info on my itineary? Do I chose where we go? Or do we take a vote?

Your itinerary sounds close to mine. We are having our rehearsal the day before and a welcome/rehearsal dinner right after at St. Anns Restaurant. Some of my guests are coming the day of the wedding so this will accomodate the majority. I told Chandlyn that there will be between 40-50 there and she ok'd it. I was extremely happy about that.

 

The day of the wedding is as follows:

 

4:00 - 4:30 Wedding Ceremony on the Beach (haven't decided between the gazebo or arch yet)

4:30 - 5:00 Pictures

5:00 - 6:00 Cocktail Hour at the Ceremony location with the Steel Drum Band

6:30 - 10:30 Reception at the Plantation with D.J for 4 hours

 

Then off to the disco if I am not to tired after the reception for some after hour fun. (optional)

 

I would to have the OOT bags placed in the rooms so as the guest arrive they are surprised when they enter there room but the way Riu operates I don't think that would work. I think I am going to personally hand it to my guests as I am notified upon there arrival.

I told Chandlyn that there will be between 40-50 there and she ok'd it. I was extremely happy about that. I am expecting around 85-100 guests but I have a feeling 60-70 will be definite. I hope we have a smaller group but we will see who RSVP's after the formal initations go out.

I haven't planned anything to host for my guests but I do like the catamaran trip to the Falls that sounds like fun.

My itinerary for my guests is (haven't formally written it out yet...):

 

Sunday - Tuesday 5/11 - 5/13:

I am planning on going to Dunns Rivers, swimming with the dolphins, catamaran cruise, etc. It will mostly be my family and FI's family there for those days, so I will let them know these are optional and not paid for (I'm close enough to all of them that I can just tell them).

 

 

Wednesday 5/14

6:00 - rehearsal on beach with wedding party

6:30 - possible rehearsal dinner with wedding party (not sure yet if I'm going to do this)

8:00 - 11:00 - welcome party at Seagrapes Beach Bar (where I'll hand out OOT bags)

 

Thursday 5/15:

8:00 - 11:00 - optional booze cruise (still need to look into this)

 

Friday 5/16:

12:00 - wedding ceremony on the beach

12:30 - 1:30 - pictures on the beach with steel band playing

1:30 - 6:30 - don't know yet! probably just keep on drinking and hanging out

6:30 - 8:30 - dinner/dancing Plantation

9:00 - 11:00 - dancing at Pascha

Saturday 5/17:

recovery day!

 

Sunday 5/18:

all guests leave; FI and I will either stay at RIU or move to another resort

When we send out the invite package, we'll include a list of scheduled non-hosted activities and any associated expenses with them. They'll see the price of the activity, and an approximate cost on transportation (based on how many people RSVP yes to each activity).

I figure that since the guests going to Mexico will be the family and friends that we are closest to, and they will be more likely to want to spend time with us. And, since a lot of the activities we're looking into are things people commonly want to do on vacation in that area, we're basically offering them a hassle free, less expensive way to do it through group rates and putting together transportation information/cost for them.
