Hi ladies, I am just curious how the room upgrades work. I am working with a BDW travel agent, if that makes a difference. So my question is, when you hit the room count for the upgrade does your travel agent automatically reserve that level for you and work out how many comp nights you have? That will save me an extreme piece of mind. Or is nothing done until final payments? Does your travel agent handle the upgrades before you arrive or is that done at check in. If this is done at check in, I will probably be in bridezilla mode.

That's a great question and one I don't have an answer for. I'm sure your TA would be the best person to answer it for you but odds are there is another bride on here who has a good answer as well if they've been through it.

At least with my TA (also found through BDW), the upgrade was not guaranteed. Our room would be upgraded upon arrival if there was availability. We were not willing to risk this and just booked the highest level room so that we wouldn't be disappointing at check-in. And for comp nights, we were told we will be refunded the equivalent in check form about 1 month before our travel date ( our room was paid for up-front to reserve the room block).

Upgrades are not guaranteed because if the hotel is sold out or the next higher room categories are sold out, there is not much they can do.  We do send Palace a list of our brides so they are flagged as VIPs.

 

Regarding the "free nights", once all the rooms have been paid, we do an accounting with the resort to see what you have earned and then credit that amount back to you.  We always try to expedite this process and almost all get their refund before they travel (I cannot recall this not happening).

We were disappointed w/ our "upgrade".  We booked an ocean view hoping to get put into a concierge room (what they told us at our site visit).  Our upgrade turned out to be an ocean room - but on the concierge floor so we got a pillow menu and extra chocolates :s.
