Whats next for me?

Hey Guys,

Quick question. I sent out Wedding announcements to my guest back in Sep. I have received 44 responces from people that stated that they were going. My question is rates are now avail for guest to start booking and I would like to send something in the mail advising them of this, so they can contact my travel agent to start booking. How do I word this? Please see below of how the wedding annoucement was made and tell me where to pick up for the next set of info to be sent regarding booking. Thanks

 

Hello Family & Friends,

As you know we are in the process of planning our wedding. We are contemplating a destination wedding in a tropical location. ( the Riu hotels & Resorts, Ocho Rios Jamaica)

 

As someone important to us, we want to get your opinon on whether you could attend, given the following ballpark information.

It could be a 2 or 3 night travel package requiring a Friday of Monday or both off from work, Our projected dated are leaving Friday pct 23rd witha wedding date of Sat oct 24th,2009.

 

Estimated travel expences could start at around 750 per peron, including airfare,hotel accommodations,transfers to and from the airport and taxes. Minimum stay requirements are 3 days, this is up to you as your price depends on how long you stay.

 

We would love to have a destination wedding but wanted to check in with our most important guest before making this decision as we would love to share this important time in our lives with you. We are looking forward to hearing back from you! Please RSVP by Oct 1,2008 so that can have an accurate head count, from there more information will follow.

After we got initial RSVP's, we followed up with an informational letter. It had the hotel & air rates. I have the wording at home but it was very basic.

You could simply say:

 

Dear Family & Friends,

 

Thank you so much for deciding to travel with us to Jamaica for our wedding. We are very excited that you want to share this special moment in our lives.

Based on your response, we are providing you with some preliminary travel info.

 

As of today, the rates for the hotel are......per person, per night.

We are flying on .... airline & currently, the airfare is......roundtrip.

 

We have a dedicated travel agent who will handle all of your travel arrangements. Please contact (put his/her name here & the contact #)

 

Initial deposits of.....must be made no later than (put date here). The last deposit must be made (put date here).

 

If you have any other questions, feel free to contact us or ....the ta.

 

Love,

Bride & groom.

Ohhh, ok, I found a letter that I still had. Here is an excerpt of what I sent out:

As a travel agent with ...Travel, Jane Doe is able to coordinate your travel plans for our destination wedding. Discounted group rates have been negotiated. Your travel price will include: accommodations, all meals, drinks, alcohol, water sports, land sports, taxes and roundtrip airfare. Transfers to & from the hotel are not included in the package, but can be arranged through our designated vendor for a nominal fee.

 

Please contact Jane Doe at (999) 999-9999 as soon as possible to guarantee your space. Price availability will vary according to actual date and length of travel. Travel dates for guests are Jan 1st – Jan 5th. Also, PASSPORTS ARE NEEDED for traveling to Jamaica!!!!!

I have to agree on this. We sent out STD's way back and my friends were quick to respond, but the family - not so much! Just sent out the invites for my May 9 wedding with RSVP NO LATER than February 1st. This gives me time to get all my DIY stuff done, get the OOT bags finished and actually have ample time to pack and relax!! I would set your RSVP for at least Sept. 1st. Your guests should know that they are going by then and I would have hoped they would book by then!!

Thank girls for the input I love just the two of us response. to the other questions I sent out std in sep with rsvp by oct 1 of 08, I am now trying to word the other stuff for now I am not getting married until 10/24/09 so I am not cutting this close girls lol.I just do not want to send something saying hey start booking
