Room Reduction / Booking Deadline Wording

I just received an email from my TA about a room reduction and our deadline is this Wednesday. She told us we can reduce any amount of room without penalty however if we fall under 10 rooms it is no longer considered a group and the rates are subject to change. We won't know the the rates until we release the rooms. After the 10th, she said we can reduce 25% until Jan 5th. 

 

How should I word an email to our guests to get them to start booking or at least put a deposit on their room? Now I'm stressing because we did a room block for 13 rooms and only 5 of them have been booked. I have been so swamped with work, with the holidays and our daughter so I can't believe I'm slacking and doing this last minute.

My deadline was last Friday (our service has been horrible so I complained and managed to get it extended).  We've actually been calling people and basically walking them throught the booking site.  I found sending emails/group texts wasn't really helping because people didn't get the sense of urgency.  Try calling a few people and just say you are confiming if they are attending or not and wanted to see if they needed help reserving their room.

 

Good luck...it's more of a headache than I thought it would be!

I did the best I could with the wording on the email. I HAD to send something out ASAP. I did mention that we needed to know something before January 5th in case we need to drop some of the rooms. It sucks but it will have to be done. Our goal is to have 10 rooms total booked and so far we already have 5 booked. Hopefully we can get another 5 rooms booked soon.

I'm having the same issue....my guests dont seem to get the urgency lol. My resort is selling out (the cheapest rooms are completely gone) and some people have just completely disregarded my first deadline of Oct 1. They just got their invitations with the 2nd deadline of 12/31 so hoping they will get on it because I have to drop rooms next month to avoid a penalty. Its just tough because I don't want people to feel like I'm bugging/nagging them and rushing them but i am haha. And also I dont want anyone to feel embarrassed because they are waiting til they can afford it for financial reasons.

We ended up dropping 3 rooms today so that leaves a total of 10 rooms. I know a lot of our guests said they are waiting till after the holidays or until their Christmas bonus so they could start booking. It's frustrating but I don't know everyone's financial situation.

If they know for sure they are coming but can't pay until next year, could you put down the deposit for them? I've thought about doing this since our deposit is only $150, but it would have to only be for people I really trust to come through! If it sounds like our resort is close to selling out I'll definitely give this serious thought.

Our deadline is today at 3pm est and I had a cousin text me asking if she could just give me her credit card information so I can book for her.  How annoying is that?!  I would never contact the bride or groom the day of a deadline and ask them to book a room for me.  I could understand if she wasn't computer savvy, but she is on a computer everyday and to ask a few hours before the deadline is just rude.

 

In addition, my fiance's sister told him this morning that she can't make her deposit now because she found out about the deadline at the last minute!  He's been calling her for weeks about it!  We told our families in February this was happening, save the dates went out in May and invites went out in October and the invites clearly state the booking and final payment deadlinees.  So infuriating!  My assumption is if she doesn't have $100 for a deposit now she isn't going to be able to go. :(

I could see if your cousin didn't have a credit card but since she does she can call just as fast as you. I'd be annoyed too.

 

My sister was the same way. She knew for 4 months when the deposit deadline was and kept saying she was going to pay this Friday or that Wednesday or whatever. Then 1 day before doesn't have the funds and my aunt jumped in.

 

I feel your pain!
