Booking Deadline For Guests

Our TA said the trip has to be paid for 45 days out. So for our May 15th wedding, its towards the ends of March. I figure that still gives us about two months if I make it in the beginning of March…maybe Ill make the date a little early, two months out seems like too much of short notice for me to have an exact count of guests!

I'd do 4-5 at a minimum. But I'm a huge planner :) if the trip is due 45 days in advance when are deposits due or do they not have to hold their price/spot?

 

Waiting until 2 months out would be stressful. If you buy online there is shipping, etc! Also if way more people come than you imagined you may have to save more (haha that happened to us!). Just stuff like that.

 

I'm glad I had numbers earlier because I got so much done/purchased and now I keep thinking of stuff I missed and/or now want to do! Spreads the cost out.

We pretty much have an idea of how many guests we are anticipating after sending out our STD's….I just know that is the date they have to pay buy. I never thought about when they actually have to book buy…oops!! seriously what would I do without you girls!??! Looks like i will be e-mailing my TA tonight. THANK YOU!


So the RSVP date does not have to be when their payments are due correct? Like what do you put on the invitation? An RSVP, a booking date, and a payment date?

I am in Canada so my guests had to pay $200 to hold their spot, then later on they had to pay for the remainder.

 

Yup some have 3 dates but I combined two.

 

I had RSVP be the same as the deposit deadline. Both July 17. Then payment deadline is Oct 17 (next week!!).

It really depends on the contracts arranged with a Tour Operator &/or Hotel.  

 

Sometimes, if a group's date occurs during a busy season, the commitment (and final payment) date may be several months in advance of the event (possibly 5 or more).  The hotel keeps the room blocks open for a certain period of time but then wants the option to have unsecured rooms back into their inventory for other groups booking in that same time period.

Guests may need to be nudged if they delay RSVPing or making deposits when they have RSVPd because they may not realize the importance of getting the payments done within the group block booking timeframe - and getting their flights arranged while there is still availability.

 

No problem with a gentle reminder.

We sent out STD's in May/June as we were initially given 90 days to book our resort, but then our tour operator decided they weren't going to that resort anymore but a different one on that property. So we had a guaranteed lower price for 30 people for Sept 5th then they were going to requote everyone thereafter. So we got on people (family, wedding party etc) to make sure they got their deposits in by Sept 5th and everyone else is now getting requoted and there is no new 90 day price guarantee.  I would definitely send out reminders as people dont notice websites on STD's (what we have been finding), so we just send texts or emails to remind people that have told us they want to come but have done nothing about it. We are currently at 40 booked with another 15 that are in talks with our travel agent.  We will be sending our proper invites end of Oct/beg of Nov with an RSVP of March a couple weeks before final payments are due.
