Palace Resort requires everyone going to the wedding to book under "one source group booking".  Meaning, everyone attendign the wedding must book via the same travel agent and the agent will submit the group all together.

 

If a guest books OUTSIDE the group (example: via expedia.com or any other website or travel agents), resort will charge the guest an additional fee to attend the wedding.  $25 per person for cocktail party, $50pp for any other private event like ceremony and reception). Those who book outside the group also do not count towards the minimum room nights required for the perks and benefits. 

 

Now, how do I tell the guests this?  Do I put it on my invitation?  Do I put it on my webiste (what if someone doesn't look at the website)? How do I word this so it's not offensive?  "you MUST book with MY TRAVEL AGENT or else you will have to pay an additional $125!!" doesn't sound too friendly.

It is actually the only way they can really track which guests are part of your resort.  Palace Resorts have so many groups at their resorts at the same time as well as private events so it is important for people to book through one source so they can be identified as a group.

 

I would just say:

 

We have negotiated a great group block rate through our "travel agent xyz" and you can contact her here.  She is a Moon Palace specialist and will not only be able to help you make your travel arrangements but also any questions you may have about the resort, room categories, or Cancun.  By booking through our travel agent, you will be included in our group and will not have any extra fees that might be added for attending any events.

 

We would really appreciate if you contacted our travel agent for your resort booking as we have a contract in place and their are group amenities that we will get for our group bookings.  If for some odd reason, you find the rate cheaper elsewhere, please let our travel agent know so she can work on price-matching it.
