How To Ask Guest To Book Through Group Booking

Recommended Posts

Just wondering any suggestions on how to politely ask your guests to book through your Group Rate.

We would receive great deal of perks by doing so, plus this may help us have dinners/breakfasts all together through the week we are there.  We area such a large group and if all book through our group rate we could qualify for free private events...

I informed everyone that we were no longer addressing questions about rates and the resort as respectfully as I could.  I provided the TAs information for them to direct their questions to.  The TA then turned their questions into bookings.  Of course I had a few "know it all's" who booked through discount travel websites.  The catch with them is that they would have had to find their own airport transfers.  Given the unfortunate reputation Mexico has, they have since booked with the group and used their credit from the discount website for another trip.

I am running in the same issues as we are about to send out our invitations with resort info/rates. Not sure how to politely do this, but there are many perks if we get more people to book through our group rate with our TA.

I struggled with this too but ended up putting it fairly bluntly on our website. Tried to be polite but also wanted to convey that we really wanted people to book with us. So much so that we're even planning on redistributing our credit for room bookings back to the whole group (we wrote that too). I also stressed that the rate we were offering included airport transfers. I cobbled some stuff together I found from the forum, and ended up writing this before all the booking details and rate info:

Our wedding will be held at the all inclusive Beach Palace Resort. We have negotiated a great group rate through our wonderful travel agent, Vanessa Martinez, and she has secured us the best possible pricing that includes direct round-trip airfare, transfers to and from the airport, and all-inclusive hotel accommodations. By booking through our travel agent, you will be included in our Wedding Party and will not have any extra fees that might be added by the resort for attending any of our events (including our wedding).

We would really appreciate if you contacted our travel agent for your resort booking as we have a contract in place, and there are group amenities and benefits that we will get for our group bookings.

So far we haven't had any questions except from my cheap sister who keeps sending me expedia prices.

I put it on our website "we secured a discounted group rate, please book with our travel agent" on our website and then sent out several emails. We asked our guests for their RSVP/room deposits before the resorts even opened the rooms up, so really to make the RSVP date, everyone HAD to use the TA.

We'll see what happens as the date draws closer though. I'm curious if we'll get any late additions...

    • Hi everyone! I have been doing lots of research on various wedding venues all around Mexico, my fiance wants a destination wedding and I am happy to have a wedding wherever so long as the vibe is right and guests are happy!  I have been seriously looking at Cabo Azul and was trying to find potential costs for them, but only found a page about their wedding costs from 2010. Does anyone have any updated information on costs / reviews they would like to share of this venue? Or advice in general, anything helps. Thanks so much, happy wedding planning to all!
    • Hello everyone, I am dreaming of a wedding in Costa Rica and was wondering if I could get any help with venues and wedding planners. I am thinking Tamarindo because a close friend of mine lives there and I've been in town more than a couple of times, she's being helpful but is at a loss when it comes to this subject really so I was wondering if anyone here had recommendations. I am not closed to other town suggestions either, if I happen to find a good place and staff somewhere else. These are the places I have so far, has anyone had any experience with any of them?  Stay In Tamarindo Luxury Villas in Costa Rica Luxury Villas Pinilla Tropical Homes of Costa Rica The Point Luxury Villa Thank you so much for your help!
