Too many guests for the tour company problem

    Has anyone else had problems with having too many guests coming from the same city on the same day, that the tour company can't accommodate it?

     

    I original got a quote from Sunquest, and put that in my invitations... within 2 days we had 68 people book, only to find out that Sunquest only has 60 spots available to go to Jamaica each week. To book the rest of the guests we need to go through a different tour company which is a different price and potentially a different plane. The only other tour company offering something on that day is WestJet Vacations, which is TERRIBLY NOT FLEXIBLE at all! For a WestJet quote we need at least 10 ROOMS booked (20 people), but can't have MORE OR LESS without the price changing again....

    It doesn't look like we have enough people to get a group from WestJet on top of our 60 from Sunquest (since many from different cities), so guests will have to book individually through WestJet to get a spot on the same day.

     

    Has anyone else run into this? 

    This is turning into a VERY STRESSFUL destination wedding!!

    I have never heard of this happening.  The only thing I can think of is that the plane leaving from your city is going to more then one destination, therefore only allowing so many seats per destination.  Are you working with a travel agent?? If not I would strongly suggest working with one who may be able to help you come up with a better solution.

      Could this be an issue with them not knowing how many flights they have leaving that day? I vaguely remember talking to my TA about booking people through Sunwing and she said that with our quote we could get 30 people on the plane guaranteed and then try and add more as they book. She said that because it's so early they might "run out of room" on the plan, but I think she said that flights to popular destinations can fill up fast and then they charter another flight? Because it's so early (for my wedding) we only know of a few flights leaving but I think she said they can add more the closer it gets to the date.

       

      It might be worth it to talk with Sunwing and see if there's a possibility they might have another flight leaving the same day? Or if you aren't working with a TA, to get one and explain the situation. Good travel agents can work wonders. I know how you feel about Westjet, they are so rigid and a pain to work with that we decided to not use them. :S

        Yea we have a travel agent. He had said all along that it was subject to availability.... I just didnt think that meant 60 people... and I dont think that he believed me when I said 70 was a realistic number to expect. 

         

        Sunquest has a deal with WestJet, so that they are allocated half the plane, and since it is only a 120 person plane= 60 seats to Sunquest.

            Hey Jreist, I happen to be a DW specialist in Edmonton (hope I don't get in trouble for saying so) and sun quest has this issue a lot....I stopped selling them for that reason...however, if you already have 68 ppl confirmed you do have enough for west jet vacations,, so why not have your TA take 25-30 of them and put them on wjv? Just an idea, it's what I would do. Your TA should be able to do it.

              Upon further thought, sunquest wouldn't have 60 confirmed seats, they have to try to get those seats from west jet...so your group is only on a tentative booking right now, They can come back 8 months down the road and not have those seats...sooo I would proceed with extreme caution. In my experience sun quest usually only gets about 30 seats out of Edmonton. We've just dealt with that problem I our office, we had 44 booked and sq came back saying they could only get 28 seats and the rest had to go to Calgary. We had to cxl and rebook the whole thing.

                URGH!!!! K I will email my TA right now. Glad you warned me, but very stressed and worried right now!!!

                Thats a huge reason why our Travel Agent we used wouldn't even consider Sunquest for our wedding group.

                  You would think that they would warn us that they are only tentative!!! Is this the travel agent or Sunquest that has left me unprepared?

                   

                  If sunquest does cancel our seats, are we shit out of luck? Will we be looking for seats anywhere we can get them, at whatever price?
