For the welcome letter - I am putting a general Welcome to Mexico - and then listing the events like our welcome cocktail party - the basic timeline for the wedding day and the schedule for our group trip to Xcaret.  I am also including our request about social media and photo sharing.  I don't want to look at my guests and see a bunch of phones in front of faces, so I am asking that nobody have phones out during the ceremony.  During the reception they can snap away but I will ask that they not share those on social media till I have had a chance to share some.  I am thinking we might need a wedding hashtag so we can see everyone's after the fact.

 

For the program- I'm doing fan programs, since it will be pretty warm.  Then I will list who is who in the wedding party - the timeline for the ceremony - cocktail hour etc. (since there now has to be a big break between ceremony and cocktail hour)  I want to note what time the photobooth will open and that sort of thing and I will list the menu there since I'm not doing menu cards.  I'm going to put a reminder on the program also that goes something like:

 

         The Bride & Groom would like you to be fully present during the ceremony, and have hired professional to capture this joyous day.  While we appreciate you wanting to help us document this special event, please keep your cameras and phones silent and put away until after the I do's unless you have been specifically asked by the Bride & Groom to do otherwise

 

My timeline looks like this right now - might have to move a couple little things still but:

2:30 PM Photographer and Videographers begin   Photos of Guys getting ready

3:00 PM Detail Shots (Dress hanging, shoes, rings, etc.)   Photos of Girls getting ready - hair and makeup done by 3:45

3:45 PM Guests begin seating

3:50 AM Couple first look photos 

4:00 PM Ceremony

4:35 PM Champagne toast  & Group Photo - Everyone Attending   Photos for wedding party and family

6:00 PM Cocktail Hour begins   DJ starts music

7:00 PM Reception Starts

7:10 PM Dinner Served

7:25 PM Speaches/Toasts

7:50 PM Cut the cake

8:00 PM First Dance   Photo Booth Opens

8:10 PM Pictures with Sparklers on Beach

8:30 PM Photographer Finishes

9:30 PM Videotgrapher Finishes

10:00 PM DJ Finishes   PhotoBooth Closes   Reception Ends

Hi everyone. I haven't really looked too much throughout this thread but I have a question about this resort. I am getting married here August 15th. Is everyone getting 1-2 options for their entrees for the reception. We were told we can have one, but if we want two choices, we have to get everyones choice prior to the wedding. I am trying to figure out how to put this into my RSVPs and get peoples responses without being tacky. Also, lets say we choice beef and chicken, what if people have an allergy or do not eat seafood, I will need to have an option for them to write it somewhere and I just feel like it will look wierd. Will the resort prepare something for those people that cannot eat either of the choices I have? I Am stressing majorly about it but I don't want to anymore. I want to order my invites and either make and RSVP card that suits this purpose, or make a website where they can select from some sort of drop down menu. I don't know! Please give suggestions!

@@lornj29 We are booked at Now Sapphire for April 2016. We were told we would get 2 main course choices with either the Eternity or Divine packages. Not sure about other packages.

 

The WC told me that the best way to identify who gets what for food is to color-code the place cards - so red for chicken, green for beef and blue for other, or something like that. They should be able to accommodate special requests. I did ask about that, as I have some vegetarians & celiacs (gluten-free) among our guests. On the form we need submit about 1 month before the wedding, it does ask: 

10. Do you have allergic or vegetarian people in your group? How many? Please write their names.

 

However, again, that seems to only apply to private dinners, so not sure if it applies to you. I haven't thought far enough ahead as to how I'm going to get guests' meal selections in advance. I am using a Google Form to capture RSVPs and have asked for dietary restrictions there, so at least I have that covered.

We put the meal selection on our RSVPs.  RSVP was done on our website through theknot.com.  We had a small wedding - most people did not RSVP and I had to call them to find out their choice.  With a group of 20 this was not a big deal.

 

A heads up: The beef was wonderful!  The chicken was salty.  Every chicken dish I had the entire week was very salty.

Also, because our party was so small, I had a seating chart with all of the meal choices written out.  At our pre-wedding meeting, I gave the seating chart to Ramon with our personalized favors.  He placed them all for us and all dishes were delivered correctly.  With a bigger party you might want to have different colored place cards for different meal choices.  Make sure you highlight which is which to the wedding coordinator.  Alternatively you could put a small picture of a cow or chicken (or fish) in the corner of each if you want to keep the cards the same color.

I struggled with figuring out how to do this as well. I ended up just putting a card in with our invites for their selections for our guests to return. This is what it looks like:

I gave everyone 2 options (per Juan Carlos)  but I have a couple of special diets in the group and he said those are handled differently.  So I have one celiac and one vegetarian - I told him the same meal could easily be for both so those two people will get whatever the resort wants to make that is gluten free and meat free.  If you ask your WC about it they can give you good guidance.
