Hi! I have Juan booked for my November 5th wedding...He is nice to work with, quick to respond to my emails and affordable...I love his work, ive read reviews on him and i always check his blog on his website b/c he updates his pictures pretty frequently...check out his blog, it might help you with your decision...good luck! Can anyone tell me details on what this "group contract" stuff is to make sure you get the group perks -- like free cocktail party, free nights, etc.??  Yesenia said my travel agent needs to set up a group contract to make sure I can get these, but she is having problems??  What are the requirements??

Amenities:

The following concessions will apply during the official Group dates and are based on current block.


• The Hotel will assign a Wedding Planner to coordinate your Group 30 days prior to arrival.
 

• Complimentary “My Palace Wedding Page†where you can write your story, upload photos, send invitations to guests, make reservations, etc. Click on http://mypalaceresortswedding.com to start creating your personal page!


• The Hotel agrees to provide one (1) complimentary 1 hour Cocktail after ceremony with 5 to 9 rooms paid nightly for 3 nights or 15 room nights. (Function areas are assigned upon availability with the onsite wedding planner and confirmed upon arrival.) Should the group require additional functions there will be a surcharge based on the number of guests and type of event.


• The Hotel agrees to provide one (1) complimentary 1 hour Cocktail after ceremony and 2 complimentary room nights for the bride and groom with 10 to 19 rooms paid nightly for 3 nights or 30 room nights. Function areas are assigned upon availability with the onsite wedding planner and confirmed upon arrival. Complimentary nights have a $10.00 USD per person, per night, non-refundable charge for tips and gratuities applied. Should the group require additional functions there will be a surcharge based on the number of guests and type of event.


• The Hotel agrees to provide one upgrade to a complimentary private function instead of a cocktail party plus complimentary nights for the bride and groom with 20 to 24 rooms paid nightly for 3 nights or 60 room nights. Complimentary nights have a $10.00 USD per person, per night, non-refundable charge for tips and gratuities applied. (Should the group require additional functions there will be a surcharge based on the number of guests and type of event)


• The Hotel agrees to provide unlimited private functions plus 7 complimentary nights for the bride and groom with 25 rooms or more paid nightly for 3 nights or 75 room nights. Complimentary nights have a $10.00 USD per person, per night, non-refundable charge for tips and gratuities applied .


• The Hotel agrees to provide the bride and groom with a room upgrade to the next available for a minimum of 25 rooms paid nightly for 3 nights or 75 room nights, based on availability.


• Complimentary nights will be credited through group contract post travel.


• Private Group functions are available without surcharge in meeting rooms and outdoor venues, except for beach and rooftop terraces with no elevator access, when using inclusive Hotel menus. The private functions provided by the resort will solemnly depend on the number of rooms booked through this group contract. (No credit for unused nights; not transferable to another party or good for future stays). Private function areas are assigned based on availability.


• Wedding passes are $88.00 USD per person, per day and must be purchased for guests not staying at the hotel. Wedding passes are guaranteed for purchase only on ceremony date. The Resort will only allow the purchase of wedding passes up to a maximum of 20% of the total number of guests. When purchasing a wedding pass guests must exit the resort no later than 11:00pm. No exceptions will be made.

skadow: is that the working in your group contract?? I know what you are supposed to get, but yesenia specifically stated that my travel agent needs a "group contract" for me to get those things.  I guess that's where we are stuck. I think my travel agent is wondering what the booking has to be like in order for us to qualify?

 

There are so many couples staying late or coming early and so many people staying different lengths of time, that I can't possibly reserve a block of rooms.  So my travel agent is just going to book people as they call her.  That's where we are worried I won't qualify.

oh...and this is my price list so far -- but keep in mind that I only have about 30-35 people and am having a full AHR when I get home...

 

$4000 - room and air (9 nights)

$1500 - wedding extras (we are using the complimentary package and adding things on -- I am using the resort photographer)

$160-320 - trash the dress photo shoot (again, resort photographer)

$250 - OOT bags

$350 - mani/pedi for girls and moms

$400 - fishing charter for groomsmen an dads

 

and I am making my own flowers for the girls...

 

I hope this helps??? I am counting on the free cocktail party and not doing a private reception.

I am new to the site. Getting married at Aventura Spa Palace April 8, 2011. Looking forward to all the info shared on here!

 

In response to the group contract thing they were very flexible with me. My guests will be coming and going at different times and staying different lenghts of time. I blocked off rooms for 7 days and the resort provided a link where the guests can go and choose the dates they want to stay for and there is no penalty if I dont use all the rooms blocked. But I booked directly with the resort so I'm not sure how it works with a TA but they should be able to do the same sort of contract so you can get the group perks.

I did not work with a travel agent. I booked everything myself. I heard some girls had a hard time getting their benifits because of working with a TA. Make sure you get a contract signed or they dont have to give them too you.

 

What I posted is from our actual contact we signed. I believe we told them that we thought we were going to book. It doesnt have to be perfect. We told them it would be about 20 rooms between the dates for Feb. 11 - Feb 21th and that they were going to be split between the Cove and Spa side. They where happy with this answere. We have people coming early and some coming late for short times. So we just did the block for that 1.5 week span. Guests can book as they want, you just need an estimate for the hotel.

 

After I gave them this information she put it into a contract with rates. When it was signed by both partys she gave me a link where people can sign up. Guests MUST sign up threw this link or they will not count toward our "booking benifits".

You could probably use resort dollors for the mani/pedi's =)

 

I also am planning on getting a free reception and then paying for the cocktail party. I think it comes to $600

Banksnelson:  Welcome!!! SO exciting to have another ASP bride!!  If you ever get the time, you should go through this whole thread...it is AWESOME.  THere are a lot of links to pictures and some really helpful info!  Any questions you have, feel free to share!

 

 

Skadow and Banksnelson:  The fear I have about blocking rooms is don't you have to put a deposit down for every room you block?? 

 

Skadow: I thought I could use the palace resort credit for the spa too..but Yesenia told me they can only be used for YOU, not for anyone else's services.  I may try when I get there, but she sent my a quote from the terms and conditions that stated allong the lines of 'they were non-transferable and may only be used for those staying in the specified room'.  So no go there :oP
