the azul people will tell you when you have time left to play 2 more songs....at least that is how it was for us.

As far as the private event set up, I'm not aware of any charges for the basic set-up, i think it is included in the cost of the meal. But I think if you are having them set up some of your own decorations (as I am but haven't been given a price) they will charge.
