Hi Ladies,

 

We put our deposit down for our room block and the 30 day window before our CC is charged is coming up and we still do not have many of our guest that say are def coming placing deposits down yet. My wedding planner says to continue sending out save the date emails and emails about the room block to remind them. I am not positive about doing this since it might seem to pushy. What creative ideas has everyone else done in this situation to get their guest to at least place a deposit down?

I know I am not staying at your resort, but I think most of us have had this frustration.

Honestly, I emailed everyone 2 weeks in advance, and then at 1 week I sent a final reminder to everyone who hadn't placed their deposits in that previous week.  But in all honesty people waited until the final hour to pay - we got most our deposits on the last day.  I think it is fair to email them once or twice especially if the deadline is looming, because we had people thank us for reminding them as they had gotten busy and forgot.

I simply made our invitations RSVP and our booking deadline the same date... If they wanted to join us for our wedding, they had to put down their deposits. I reminded a few people (and sent out a postcard "reminder" a week before the deadline asking them to RSVP/book).... And only had one bridesmaid give me grief (she is no longer in my wedding as a result). Manager to get over 85 people booked before my deadline that was 16 months before my wedding. Since then we have had another dozen stragglers... And their pricing is a bit higher as a result... But at least it's not sold out yet. I suspect it will be though so I'm glad my guests all booked like I asked!

Definitely don't feel bad about sending a friendly reminder to guests. Many might have forgotten and they will appreciate it. Also, most of our guests waited until the last 2 days to book, including my fiance's family haha. i laugh now, but it was pretty stressful at the time and I think we've all been there. I just sent texts to people or called them and I know @@kmk2016 did some amazing postcards from vistaprint as reminders. I don't think it's pushy. It's your wedding and at the end of the day you don't want anyone to miss the deadline and come later saying that it's too expensive to book. People understand that the couple need to get stuff done, even if it means taking two minutes out of their day to read a reminder.

I love your choice of flowers, did you upgrade for the ribbons around the bouquets? I also adore the starfish-boutineers. 


@@AllieH We used CancunTransfers when we went down for the BDR a few weeks ago. Thanks again for the recommendation. 


@@carrieandsam we had a LOT of stragglers for putting down deposits and RSVPing too.  We did a STD email, followed by mailed invites, followed by reminder postcards.  It was a bit frustrating and stressful! You'll feel much better once the deposit deadline is over and the dust has cleared.

Not sure what you mean. Their onsite coordinators are amazing and will make all your visions and ideas come to life once you arrive. Your offsite coordinators who will gather all your information prior to your arrival work as a team of wedding designers, so any of them can help build your wedding plan/detail sheet.

The travel agency that I'm dealing with recommended me to a coordinator that is base in Miami and I don't feel comfortable with that

everyone has to do their wedding planning through the coordinators in Miami. you don't get to work with coordinators at the hotel until you get there. the Miami coordinators can be frustrating at time with communication but you will be fine. after they did their reorganization where you work with a team rather than knd individual it was much better
