Hi ladies, I'm having an issues that is really stressing me out.  I was speaking with my TA and she said to let any family members and friends know that they should book soon b/c it looks like the hotel will book out.  Did anyone have this happen to them?  My wedding isn't til November and I know many of my guests are dragging their feet and haven't booked yet.  I haven't even gotten my invites out yet... Did this happen to any previous brides or anyone dealing with this now?  I'm worried that when my guest actually go to book there wont be rooms available... I was thinking to email everyone just a reminder to book or something but thats what my invites were supposed to be... Just stressing!!! Any input would be much appreciated... Thanks.
Hi! I would try and put at least a few rooms aside to block, that way you will know for sure you have some. We made a wedding website with all the booking info as well and then I just kept telling people to go on it and book their trip soon. I felt like I was being a pest, but I just kept texting and emailing people that i knew were def trying to come ,letting them know rooms were filling up.

MMK- Thanks so much for the advice and kind words :) Did you order suits from Studio Suits? I had Mike order samples bc we wanted to see the quality whille his suit store waits for his "samples" [which were supposed to come in two weeks ago already! eek] I actually changed the postcards I made in that same post also- I kept the wording but changed the images, the purple & pink were too "baby" colored for me hahah!

 

JESS878 AND TARA STEVE- This may be the most stressful part of all the wedding planning. Our deadline to book rooms was March 15th and there were a TON of last minute bookers- and some that still have yet to book. Sometimes, TA can only see available rooms that are open to them- it doesn't necessarily go for the entire resort's availability. I remember my TA said she sees X amount of rooms left if we wanted to add to our block, but she could ask resort to open more to her. So I'd ask the TA again to check with resort and if they really are almost out of room, ask what the next category up would be available. And don't stress about those last minute & late bookers- I did and i regret it b/c either they booked or didn't, something we can't control unfortunately! But it will work out, just be cautious when it comes time to keep or release your rooms that aren't booked- If you keep them after the deadline and they are not fulfilled, you will be penalized. Hope this helps =)

 

ALYSSA NYC- Thank you so much!! I wanted to do something out of the ordinary, and also something our guests would be able to use there and bring back as a favor =) It was a great idea and the pricing was amazing for the quality! I'd recommend Factory 21 to anyone =)

Their prices on Etsy actually seem a bit better than on their actual website weird right? LOL ANyways hope to see your OOT ideas on the forum soon!! btw, what part of NYC are you from? I work in Midtown and live in Queens :)

I am going to go with Factory 21 for the mugs as well! I just have to wait until May for a final head count. I don't want to over or under order.

This is the most stressful part of planning the OOT bags...I guess they will have to wait!!

We just bought a home in Staten Island. I work there as well for the DOE

I was advised by my WC that the ONLY outside vendors they now allow is the photographer! Even with the offer of an $800 vendor fee, they still said NO to an outside DJ! Obviously I am disappinted that I do not get to select my own vendors for my wedding. I did a search for "DJ All Music" and it brought up hundreds of threads (those words are pretty common!!), can anyone give me some feedback on their experience with DJ All Music? I have seen the pricing, there is no mention of a dance floor, so that's one question I have! Thank you!

Ok so after talking to some of you I have a couple questions.  My wedding date is November 16, 2013.  I sent save the dates out back in nov. to give everyone a full year to save and book thier trip.  When is a good time to send out the invites?  Also, when should I say I need the response cards back by?  Or do you put something on the invites about when you have to book your rooms by??  I just want to make sure im putting all the correct info on my invites.  Thanks so much:)

Tara, I sent out emails with our wedding website link,on the website I posted all the information on how to books rooms and by when.it was the best way to get a bunch of information out to our guests. I sent out my invites 6 months prior with just basic information (who, what, where, when) by the time your invites go out people have already had to had there rooms booked months prior. I just used the invites as a way of sending out food choices. My dad was really antsy about paying for everything ASAP so I have people two months to return there food options. I had all the food choices in by feb 14th and my wedding is in June. Hope that help!

We sent out official invites in January with an RSVP of March 15 and our wedding is June 28. We had booked a room block back in March 2012, though and at that time I sent email save the dates and encouraged everyone to book within the first 30 days so I didn't have to pay the deposit to hold that many rooms. It was very successful. Once we sent out our official invites most people were already book. I did it more as a formality and a few more people did book after that so that was good. I mentioned on the invite when to book by (as well as on our wedding website). I also dated the RSVP for sooner than that so I could order things and get going with the planning. Hope this helps!

Hi Tara! I also sent save the dates out a full year in advance. Our wedding is February 2014. I plan to send the formal invitations out in August and have an RSVP date of October. The rooms/ rates we reserved are valid until October 27th, and I will mention that in the invites as well as have more detailed information about the resort and a schedule of events.

 

Just an FYI for future brides... From my experience so far, and I'm not sure if anyone else ran into the same issue... But, it seems to me that some guests are a little confused about when to actually book their room. I get comments sometimes from people saying that they are waiting for me to send the invitations out so they can book their rooms, which they should not have to wait until the invitations in order to book. On the back of our save the dates we have a note saying 'We have reserved rooms at special rates, please contact...' followed by my travel agents contact information. I did not have detailed information about the resort such as pricing, etc. and I think this caused confusion for some people for whatever reason!

 

I think I'm going to take MMK's advice and send out a short email or facebook message as a formality before sending out the invitations, just to let everyone know a bit more detail such as pricing, hotel information, the rates deadline, etc.
