I just got an email from my WC regarding Playa Azul.  We are getting married on October 20th, but as of last week when they had hurricane threats in Riviera Maya, the palapa at Playa Azul has been removed from the beach.  It is now just a big open space in the sand for our reception.  She is sending me the other reception options, but I thought I would give others a heads up that you may want to be thinking about this too.  Really hopeful that there is another pretty space available.  Fingers Crossed!

I have a date on hold at Barcelo Maya Palace for July 20, 2013!! Now I am just trying to decide on what travel agent I want to go with. This I feel is another hard part I want it to be easy for all my guest to book and I want the best prices for them. Any suggestions?

I am going to do the Mint Breeze Package for about 50 people, I was wondering how much extra would it cost to do a cocktail hour and do they give you any type of discount? Does anyone have any experience also with welcome dinners and how those work??

How did you and your guest book your trip/stay at Barcelo? Did you do the group contract to get the group rates? And did you use a Travel Agent?

I find this to be the hardest part and I need to confirm the date by booking my room and trying to figure this part out quickly because my date is on hold not confirmed right now!!

In order to get quotes you need to email the barcelo and a wedding coordinator will get back to you. Your date is on hold until YOU book...meaning you and your fiancée only. You do not ( at least I didn't) have to give a final count until about a month before your wedding. We didn't go through a travel agent persay because it's super expensive. If you want to save $$$$ go through an online agent like orbitz, Expedia, cheap carribean etc...

We did go through a Travel Agent and got group rates through her, we also checked a few other ways to travel ourselves as a group or booking individuals and the travel agents group rates were the cheapest at that time and still now they are the cheapest we have seen to stay at the Barcelo out of Calgary or Toronto. I would do your homework, though, and check a few places and get different quotes because they can change quite a bit between agents and also travel companies. It also depends on who is going and how comfortable they are with travelling and booking and such...besides the great prices with our travel agent I thought it was easiest for everyone to contact her with what they wanted, whether it be different flights or options for resorts, etc, I didn't want to have to deal with the whole group and millions of questions as I am an easy expedia last minute traveller and many of our guests are not.

My travel agent is Wendy at Wright Travel, and she has been awesome.  We invited 43 people thinking we would maybe get 25 to come, but there are 38 people confirmed with their rooms all paid and flights all booked.  I originally booked a block of 11 rooms and paid the deposit for all of them and then as the guests confirmed and paid, the deposit was credited to my room.  I have had to do very little as far as worrying about guest arrangements.  They all booked their own flights and emailed with Wendy to book their rooms.  I highly recommend Wright Travel.

I am wondering if any previous brides/grooms can answer a question regarding booking your photographer in at the resort?! 

 

If I book through the Barcelo site for 2 nights do I have to put in the comments or notes that the photographer is staying there, or do I have to make sure to meet him at the entrance of the resort to make sure he gets in to get the room or how does it work when I am booking him on my credit card under my name but for him to stay?! I am so confused and don't want my confusion to cost us more money!

We did not do a cocktail hour as it was pretty expensive (for us anyway) so I cannot answer that question.  However, we did do a welcome dinner.  My WC was Lillian (cannot say enough good things about her!) and she reserved the French restaurant Brasserie for us.  We had our welcome dinner the night before the wedding in lieu of a rehearsal dinner.  Since we were a large group, the restaurant had us choose our four courses from a smaller menu than the regular menu, however, Lillian had us choose our options when we met with her and she informed the restaurant of what we wanted.  We did very little and Lillian did everything else for us.

 

We also used Wendy Hicks from Wright Travel and she was great.  Made it very easy for our guests and for us as we did not want to arrange or handle anyone's travel.  Wendy got us a nice discount at Barcelo but I also went to Barcelo's website and became a free member.  A few months before our wedding, I went to Barcelo's website to the member's only discount page and found a rate for the time we would be there that was better than the deal we had with Barcelo.  I contacted Wendy and she spoke with Barcelo.  They agreed to honor the lower rate.  Wendy did all of the negotiating for us.  She was fantastic!
